A fair question whenever AI touches member data: where does it go? The Assistant encrypts your private data before anything is sent for processing, and we hold the encryption key. Membership and personal details are decrypted only on our side — the AI never sees the raw data.
A POPIA warning worth reading twice
If you export member data and paste it into a public tool like ChatGPT or Claude, you’re likely in breach of POPIA. That data isn’t covered by member consent, and those servers may sit outside South Africa’s borders. The AI button in the top navigation is your control centre. It shows your weekly and monthly token usage, your number of automated tasks, your scheduled tasks, and your full conversation history. Ask for a financial report and the Assistant doesn’t just dump numbers — it flags risk. Heavy on EFT and light on debit orders? It’ll call that out, because EFTs carry collection risk and capture delays that quietly cost you money. High-level, actionable insight in seconds, not a stack of exports.
Leads and CRM
Point it at a lead and it reads through every interaction on your CRM, then hands you a plain-English summary and a next step: “Call him today. The lead is warm.” If you’re not using the CRM yet, start — it’s one of the most powerful tools for managing sales, and the Assistant makes it effortless.
Members and campaigns
Ask who hasn’t visited in the last 30 days and it pulls the report, previews the first names, and gives you a downloadable Excel list. From there, ask it to write a “we’d love to get you back” email — it pulls your gym’s theme, colours, and images automatically and generates a designed, on-brand email you can edit back and forth until it’s right.

When you need a human
If the Itensity Assistant can’t crack something, ask it to log a support ticket — it files the ticket on your behalf, with the full context of what you were trying to do already attached. That gives our support team a head start. And please use the Submit Feedback button: when the AI can’t do something we log it automatically, but hearing in your words what you actually wanted is far more useful.
