Get paid without the chase
The collection process, start to finish. Four stages. One record. One number.
Collections is not a month-end job. Most of what goes wrong on the first of the month was decided weeks earlier, at sign-up and at the front desk. In one sitting we walk the whole process, four stages, and show you where each one breaks and what the well-run operators do instead.

Built for the people who carry the collections
Three kinds of facility, the same four stages, different pressure points.
Studios
You opened a studio to teach, not to chase payments after class. This session shows you how a missed payment sorts itself out quietly, without a conversation at the door, and gives you your evenings back.
Performance gyms
Your coaches shouldn’t be your collectors. We cover how to run collections so the money comes in without anyone at the desk having the uncomfortable talk.
Clubs and multi-site
Staff change. Your collections process shouldn’t. We show how to run each stage the same way on every shift and every site, and which number tells you whether it’s working.
What we’ll walk through
One process, four stages. We follow one member from the day she joins to the day a failed debit is recovered, and stop at each stage to show what good looks like, the common mistake, and what you’d have to check by hand without a system doing it for you.
Sign-up
Where every debit order is born. Why the details, the mandate and the first payment at sign-up decide how the next eleven months go. The compliance line most operators don’t know they’re crossing.
Daily operations
Payments and changes during the month, and why they have to land on the member’s record in the moment. The three levels of who resolves a payment, member, front desk, back office, and the one route that breaks everything.
Month-end
Why month-end isn’t where the work gets done, it’s where the first two stages show. What the record already knows on the first. The two things well-run clubs do differently with levies and add-ons.
After the run
The two exits for every debit order. How failed payments resolve without a call. Who chases whom, and why most members would have paid on their own.
Your five-question self-check and the one number to track
Five questions you can answer about your own gym in two minutes, each pointing to the stage running on people instead of the system. Then the single number that tells you whether the whole process is working.
By the end of the session
- A clear picture of the complete collection process, so you can start building your own.
- The five-question self-check for your gym, with the stage each answer points to.
- The one number to track after every debit run, and how to read it.
- A copy of the workshop slides and the recording, sent to every registrant.
Answer these five questions
Two minutes on your own gym. Bring your answers to the session and they’ll make the half hour a lot more useful.
- Are joining fees and pro-rata worked out or collected by hand?
- Are payments captured off a bank statement after they arrived?
- Do staff have to ask the office before they can tell a member what they owe?
- Is the month-end run built or corrected from notes before it goes out?
- When a debit fails, does someone have to act before the member can pay?
We see the pattern
Over a million members pay through our platform every month, across studios, performance gyms and clubs. Where collections break is consistent. So is what fixes it. This workshop is that pattern, laid out plainly, with nothing sold in the middle of it.
Twelve years watching collections run, and fail, across hundreds of facilities. Jaco built the infrastructure these gyms run on and has seen the same mistakes play out at every size, from a single studio to a multi-site club.
